QR Codes on Site: Getting the Latest Drawing to Every Subcontractor

The problem printed drawings create

However good your digital drawing register is, drawings still get printed. A site foreman pins an A1 sheet to the wall of the site office; a subcontractor carries a folded A3 in their van. Once a drawing leaves the screen, it stops updating — and there's no way to tell, just by looking at it, whether it's still current.

That's a real risk. A structural detail changes, a new revision is issued, and the printed sheet on the wall is now wrong — but it still looks exactly as authoritative as it did yesterday.

QR codes close that gap

Stamping a QR code directly onto the drawing before it's printed solves this cleanly. The code is a fixed, physical link back to that drawing's entry in the live register. Anyone on site — with any phone, no app required — scans it and immediately sees:

  • Whether this is the current revision, or has since been superseded
  • The full revision history, if they want to check what changed
  • The latest issue, if a newer one exists

No login. No searching through email for the latest PDF. Just point a phone camera at the sheet.

Where to place the QR code

Most teams create a small dedicated space in the title block for the QR code, with a short instruction alongside it — something like "Scan to verify this is the latest drawing." Positioning it in the title block keeps it in the same place on every sheet, so anyone on site knows where to look.

What happens when someone scans a superseded drawing

This is the actual point of the exercise. When a QR code is scanned and the drawing has since been revised, the scan page should say so clearly — not bury it in a status column. A builder who scans an old drawing and sees "Superseded — Revision C is current" catches the mistake before it costs anything, rather than after.

Does it change the original file?

No — the QR code is stamped onto a copy that becomes the issued revision. The working file stays untouched; only the version that goes out for construction carries the stamp.
